If you're a tech or installer who lives out of your phone's calendar app, SalesThumb can push the jobs assigned to you into your own personal Google Calendar automatically — so you're not stuck checking two schedules. This is a personal, per-person connection: you turn it on for yourself, it only ever affects your own calendar, and it's completely separate from the shop-wide Google integrations covered elsewhere in this KB (more on that distinction below).
Where to find it
This lives with your personal account settings, not shop-wide Settings. Click your avatar (or initials circle) in the top-right corner of the header, choose Profile, then scroll down to the My Calendar card — "Sync your assigned appointments to your own Google Calendar." Inside that card is a Google Calendar row ("Connect your personal calendar") that takes you to the My Calendar page. It sits alongside the Security card on the same Profile page, the same "your own account" cluster as Security & 2FA.
Connecting your calendar (about 2 minutes)
1. Open Profile → My Calendar. 2. Click Connect Google Calendar. 3. You're sent to Google's own sign-in and consent screen. Sign in with whichever Google account you want your appointments to land on — personal or business, your choice — and approve access. 4. You're redirected back to the My Calendar page. A green Connected badge appears, along with a confirmation banner: "Connected. New appointments assigned to you will start syncing shortly." 5. The card now shows "Connected as {your Google account email}" and a "Last synced" timestamp that updates as syncing happens.
One thing to know going in: this connects to your Google account's primary calendar. There's no picker to send events to a different calendar — one connection, one calendar.
What actually syncs, and how
- Only appointments where you're the assigned bay/installer sync to your calendar — not the shop's whole schedule. If a job is booked but nobody's assigned to it yet, or it's assigned to someone else, it won't show up on yours.
- It's one-way: SalesThumb → Google Calendar, never the other way. Creating, rescheduling, or canceling an appointment in SalesThumb creates, updates, or removes the matching event on your Google Calendar automatically — this runs on an automatic background cycle, so expect it within a couple of minutes rather than instantly. Editing or deleting the event directly inside Google Calendar does nothing back in SalesThumb, and if you block off personal time in Google Calendar, SalesThumb has no way to see it — it won't affect the shop's schedule or conflict-check against it.
- Reassigned off a job? The event disappears from your calendar on the next sync, and shows up on the newly assigned installer's calendar instead, if they've connected too.
- What the synced event actually contains: the appointment's title (or the service name plus customer name if it doesn't have one), a description with the service, vehicle, customer name and phone, any appointment notes, and a line reminding you it's synced from SalesThumb and editing it here won't change anything back there — plus the shop's address as the event location and the appointment's real start/end time.
A gotcha worth knowing: connecting doesn't backfill your existing schedule
Turning this on doesn't retroactively pull in jobs that were already assigned to you before you connected. Only appointments that get created, rescheduled, or updated *after* you connect get pushed to your calendar. If you connect on a Monday and expect Tuesday's already-booked jobs to appear, they won't — until something about that appointment changes (or it gets rebooked), it simply isn't queued to sync. In practice this settles out on its own within a few days as your schedule naturally updates, but it's worth knowing up front so you're not left wondering why a job you can see in SalesThumb isn't on your phone.
When a connection goes stale
Google connections can expire or get revoked on Google's end. When that happens, the badge on My Calendar switches from Connected to Reconnect needed, and a red notice explains that appointments have stopped syncing. Click Reconnect and you'll go through the same Google sign-in and consent screen as the first time — once it completes, the badge goes back to Connected and syncing resumes.
Disconnecting
On the My Calendar page, click Disconnect. There's no confirmation prompt — clicking it disconnects immediately. Disconnecting only removes your connection: any events already sitting on your Google Calendar stay exactly where they are (SalesThumb doesn't reach back in and delete them), and it has no effect on anyone else's connection. If you reconnect later, sync picks back up going forward the same way it did the first time — it won't retroactively clean up or re-add anything from while you were disconnected.
How this is different from other calendar features in SalesThumb
Two other, unrelated things in SalesThumb also touch Google Calendar, and it's easy to mix them up:
- The Google Workspace email connection (Settings → Integrations, or the Email Settings page) is about sending email from a shop Gmail account — nothing to do with calendars at all.
- The Calendar Subscription Feed (Settings → Integrations) is a shop-wide, read-only iCal feed anyone can subscribe to from Google, Apple, or Outlook Calendar to see the *whole shop's* schedule. My Calendar is the opposite of that: personal to your account, only your own assigned jobs, and a direct push rather than a subscription feed.
If you don't see a Connect button
On some deployments, the My Calendar page shows a "Not configured yet" badge and a disabled Connect button instead. That means this feature hasn't been turned on for your SalesThumb yet — there's nothing to troubleshoot on your end. Check with your shop admin or contact info@roffik.com.
