Shifts over 12 hours: the end-time check and Shifts to review card

What employees are asked after 12 hours on the clock, and how managers confirm or correct that time from the Shifts to review card.

4 min read

When an employee has been clocked in for more than 12 hours, SalesThumb doesn't quietly book the whole stretch as paid time. It asks them for the time they actually stopped, then flags the shift so a manager can confirm or correct it. The Time Clock is part of the Growth plan and up.

What the employee sees

Someone who has been clocked in for more than 12 hours clicks Clock Out on the Time Clock page and gets an amber box: "You've been clocked in since [date and time]. When did you actually stop working? Your manager will review it."

  • The time field starts on a suggested end: the length of their scheduled shift that starts within 4 hours of their clock-in, or 8 hours after clock-in if no shift is scheduled. It's never later than now.
  • The field won't take a time before they clocked in or after the current moment.
  • Clock out at this time saves it. Cancel closes the box and leaves them clocked in.

The PIN kiosk does the same. After the PIN, the screen says "That's over 12 hours. When did you actually stop working? Your manager will review it." and Clock out stays disabled until a time is filled in.

Shifts of 12 hours or less clock out the normal way, with no question.

Breaks and error messages

If the employee was on a break when they clocked out, the break counts as running until the end time they chose. If that end time would make the shift shorter than the break time already recorded, they see "That end time gives a N-minute shift, but N minutes of break are already recorded on it. Check the end time — AM/PM is the usual culprit."

They can also see "End time must be after your clock-in time." or "End time cannot be in the future."

What the manager sees

When any shift is flagged, a Shifts to review card appears on the Time Clock page, below the clock-in card: "These were clocked out more than 12 hours after clock-in, with an end time the employee entered. Confirm or correct the clock-out." It only shows for people who can manage the time clock, which is Owner, Admin and Manager by default, and it disappears when nothing is waiting.

Each row shows the person's name, "In [date and time]" with the paid duration, and a clock-out time field.

  • Leave the time alone and the button reads Looks right. Click it to clear the flag.
  • Change the time and the button reads Save clock-out. Click it to correct the shift.

Either way the row drops off the card. A correction recalculates the paid total as the new span minus the recorded break minutes, and the edit is logged. The card shows up to 100 flagged shifts, newest first.

The field won't take a time before clock-in or in the future. You'll see "End time must be after the clock-in time." or the break message above if the new time doesn't fit.

Flagged shifts versus shifts that never close

This flow covers shifts the employee closed with their own end time. If someone never clocks out at all, or was archived while on the clock, a manager closes the shift from Team Status instead. See Fixing a forgotten or stranded clock-out. For the basics, see How to clock in and out.

Frequently asked questions

Q: Does a shift over 12 hours still get paid?

A: Yes. It's saved with the end time the employee entered and the paid total is worked out from it straight away. A manager can then confirm or change that time.

Q: Who sees Shifts to review?

A: People who can manage the time clock: Owner, Admin and Manager by default, or whatever your shop's permission settings grant.

Q: Can I edit any past clock-out from this card?

A: No. The card only lists shifts that were flagged because the employee entered their own end time on a long shift.

Q: What if the employee picks the wrong time?

A: Change it in the clock-out field on Shifts to review and click Save clock-out. The corrected total replaces the old one.
