Every teammate gets their own set of role-specific Teaching Wizard walkthroughs from the Learn hub — see "Using the Learn hub (Teaching Wizard)" for that side of it. This article covers the other side: the page that lets an owner or manager see everyone's status in one place, instead of asking around the shop.
Where to find it
Go to Settings → Team & Permissions, then switch to the Permissions tab (it opens on Members by default). In the top right of the "Member permissions" card, click Training progress — it sits right next to the Permission sets button. That takes you to a standalone page at /app/settings/team/training, with a back arrow that returns you to Team & Permissions.
Who can see it
Owner, Admin, and Manager accounts can open this page by default. Technician, Front Desk, and Service Writer accounts can't — if one of them navigates there anyway, the page loads but shows a red error banner instead of a table, because the data behind it is permission-gated.
That access is a permission, not a hard role lock, so it can be extended. Go to the Permissions tab, click Manage next to the person's name, and turn on "Manage Team Hub announcements" in the Team group. That's the specific toggle this page checks — the name doesn't mention training at all, so it's easy to miss if you're scanning for something more obviously labeled "training" or "wizard."
What the roster shows you
The page lists every staff member who has at least one Teaching Wizard that applies to them, grouped by person — name and role badge, then a small table underneath with one row per wizard: the wizard's title, its status, and when that teammate was last active in it.
Status shows as one of four badges:
- Completed — finished every step
- In progress X/Y — how many of the wizard's steps they've gotten through so far
- Skipped — dismissed without finishing
- Not started — hasn't opened it yet. This still shows as a row rather than being left off the page, so a brand-new hire who hasn't logged in yet still appears with every applicable wizard marked "Not started."
"Last seen" shows as relative time for anything recent ("5m ago," "3h ago," "2d ago"), switches to a plain date once it's been over a week, and shows a dash if there's no activity at all yet.
What this page doesn't do
It's read-only. There's no button here to send a reminder, nudge someone, or reset a teammate's progress on your end — Skip and Reset only exist on the wizard cards the teammate sees themselves at /app/learn. If someone's stuck at "Not started," the fix is a conversation (or pointing them to /app/learn), not a control on this page.
A couple of things worth knowing
The "Staff (N)" count in the card header isn't your whole team roster — it only counts people who actually show up in the table, meaning they have at least one active wizard that applies to both their role and your shop's current plan. A staff member whose role has no eligible wizard right now (for example, if every wizard for their track needs a higher plan tier than your shop is on) won't appear on this page at all, not even as an empty row. If the list is empty across the board, the page says so directly: "No teaching wizards apply to this shop's staff yet."
It also reflects whichever shop you currently have active, the same as the Learn hub itself. If you manage more than one shop and a teammate you expect to see isn't listed, check you're looking at the right shop before assuming something's broken.
Frequently asked questions
Q: How do I see which team members haven't finished their training yet?
A: Go to Settings → Team & Permissions → Permissions tab, then click the Training progress button. Anyone who hasn't opened a given wizard shows a "Not started" badge next to it.
Q: Why doesn't a staff member show up on the training progress page?
A: The page only lists staff who have at least one active Teaching Wizard that applies to their role and your shop's current plan. If nothing applies to them right now, they don't appear at all — not even as an empty row.
Q: Can I remind a teammate or reset their progress from this page?
A: No, this page is view-only. Skip and Reset only exist on the individual wizard cards a teammate sees themselves at /app/learn.
Q: Can a Technician or Front Desk employee see the training progress page?
A: Not by default — only Owner, Admin, and Manager accounts can. An owner can extend access by opening that person's permissions under the Permissions tab and turning on "Manage Team Hub announcements," which is the specific toggle this page checks even though its name doesn't mention training.
Q: What does "In progress 2/5" mean on the roster?
A: The teammate has completed 2 of that wizard's 5 steps and hasn't finished, skipped, or abandoned it yet.
