Two separate signatures can live on the same invoice page: a pre-work service and liability waiver (optional, off by default) and a job-completion sign-off (automatic on every invoice once it's paid). Both are collected from the customer's public invoice link — no app, no printed form, no email attachment to chase down.
The two signatures, and how they're different
The waiver is meant to be signed before your tech touches the vehicle. It's off by default and it's a shop-wide setting you turn on yourself. When it's on, it doesn't just add a step — it takes over the *entire* public invoice page. A customer who opens the link before signing sees only the waiver: no line items, no pay button, no completion sign-off. Nothing else on that page renders until they sign.
The completion signature needs no setup. It's already live on every invoice. It shows up once the invoice is paid in full (or has a $0 balance) and asks the customer to confirm the work is done, with a dropdown for who's actually signing — the customer themselves, an authorized agent, or someone else picking the vehicle up.
They're independent settings collected on the same page, at different points in the job.
Turning on the pre-work waiver
1. Go to Settings → Shop Profile. 2. Scroll to the Service & Liability Waiver card. 3. Paste your own waiver text into the Waiver text box (up to 20,000 characters — there's an Expand button if you need the full document visible while you edit). If you haven't written one yet, click Load sample text to drop in a generic starting template. Read it before you use it — the card carries a permanent warning that SalesThumb isn't a law firm, this text is not attorney-reviewed, and you're solely responsible for making sure your actual wording is enforceable in your state. The sample itself repeats that warning inline, with `[Shop Name]` and `[State]` placeholders you have to fill in. 4. Flip Require signature before invoices can be viewed/paid on. It stays greyed out and can't be toggled on while the text box is empty — you have to have something in there first.
That's the whole setup. There's no separate "activate" step and no per-service on/off — it's one switch for the whole shop.
Getting it signed before you start the job
There's no dedicated "send waiver link" button — you don't need one, because it's the same invoice link you'd use for anything else. Any of the normal ways you'd get a customer to their invoice work:
- From the invoice, click Collect payment → Send link, check Text message and/or Email, and send.
- Use the Pay here tab's QR code or Copy link if the customer is standing in front of you.
- Hand them a tablet already open to the invoice.
If your waiver toggle is on and this invoice hasn't been signed yet, the link opens straight to a "Please review & sign before we get started" screen instead of the normal invoice — the customer sees the line items and total, your waiver text, and a signature panel with two tabs, Type and Draw. Typing fills in a printed name (the typed name *is* the signature — there's no separate box asking for it twice) and drawing uses a signature pad. Either way they also fill in a Full name / Printed name field, then tap Sign & continue.
Once they sign, the page unlocks and behaves like any other invoice from then on — payment, the completion panel later, the refund-request link, all of it.
The waiver text gets frozen at the moment of signing. If you edit your shop's waiver wording afterward, invoices signed under the old wording keep a permanent snapshot of what the customer actually agreed to — your live text can change without rewriting history on a signed invoice.
If the tint isn't street-legal
If this invoice is tied to a quote that has a saved tint-compliance check, the waiver screen shows that check right above the waiver text — a green "Compliant with [state] tint law" card if it passes, or a red card listing which windows are below the legal VLT minimum and an acknowledgment paragraph ("I understand I may be cited... and that [shop] is not responsible for any fines or enforcement action") if it doesn't.
If it's non-compliant, the *same* signature the customer is about to give on the waiver also gets recorded as a separate tint-waiver acknowledgment behind the scenes. They don't sign twice — one signature covers both the service waiver and the tint-compliance acknowledgment.
The completion signature
This one needs no configuration. Once an invoice is paid in full (or its balance hits $0), a "Sign to confirm completion" card appears further down the same public invoice page, under the text "Your signature activates the warranty on this work." Same Type/Draw tabs and printed-name field as the waiver, plus one more field: Signing as, a dropdown with three options — Customer, Authorized agent, or Someone else picking up. The button is Confirm completion.
Once it's signed, that panel is replaced with a green "Completion confirmed" card showing the signature (or typed name), who signed and in what capacity, and when.
### If the customer isn't there to sign in person
Open the invoice on your side and look for the Customer completion sign-off card. Before it's signed, it shows "Not signed yet" and a Request signature button — greyed out if the customer has no phone on file. Clicking it texts them a link straight to the sign-off screen ("your work at [shop] is complete. Please confirm pickup and sign off here..."). After they sign, that same card flips to show the recorded signature, signer, relationship, and timestamp, with "Recorded — warranty is active and this invoice is signed off."
If the customer has a phone number on file, both signatures also trigger a short confirmation text after they sign — one confirming the service agreement, the other confirming the completion sign-off and that the warranty's now on file.
What your team sees on the invoice
If your shop has the pre-work waiver turned on, the invoice detail page shows a banner right under the header the whole time — green ("Service waiver signed by [name] — clear to start work") once it's done, amber ("Service waiver NOT signed yet — do not begin work") until it is. Shops that never turn the waiver on don't see this banner at all.
What isn't there
- No separate "send waiver" action. There's one link per invoice. If the waiver toggle is on, sending that link at all — by any method — puts the customer at the waiver screen first.
- No staff-entered signature. Neither signature can be filled in from your side. Both are customer-facing fields on the public page only — an employee can't sign on a customer's behalf, even the "someone else picking up" option on the completion signature is still something that person types or draws themselves.
- No per-service or per-invoice override on the waiver. It's one shop-wide switch. If you run multiple shops under one organization, HQ can push your waiver *text* down to shops that haven't written their own yet — but that never touches the requirement toggle itself; each shop turns that on (or leaves it off) independently.
- No re-signing. Once either signature is recorded on a specific invoice, that's final — there's no "undo" or re-sign flow from either side. A double-tap or accidental resubmission just returns the existing signature instead of creating a second one.
- No waiver on the quote. The gate lives on the invoice, not the quote — so if you want a customer signed before you start, you need to have created the invoice (not just sent a quote) before you hand them the link.
Tips
- Write your waiver text before you flip the toggle on. The switch is locked off until there's something in the box, and the loaded sample is explicitly a non-legal placeholder — get your actual wording reviewed first.
- For walk-ins, just hand over a tablet. Both signature screens work fine on a phone or tablet browser — you don't need to text/email yourself if the customer's already standing at the counter.
- Use "Request signature" for no-shows at pickup. If a customer picked the vehicle up without signing (or someone else grabbed it for them), that button on the invoice's completion card is the fastest way to close the loop remotely, as long as there's a phone number on file.
Frequently asked questions
Q: Do I have to turn on the pre-work waiver, or does every invoice already collect a completion signature?
