HQ Webhooks let you send event notifications — a booked appointment, a paid invoice, a new customer — from every location in your network to one outside URL, such as a Zapier or Make catch hook. A webhook set up in HQ receives the same events as every shop in your organization, so you don't have to configure each location separately. Webhooks are part of the HQ add-on. Anyone with HQ dashboard access can view them; adding, editing, turning off, rotating or deleting a webhook needs an HQ Owner or Admin.
For webhooks set up on a single shop instead, see API keys and outbound webhooks.
Getting there
From your HQ view, click Settings under Admin in the HQ sidebar, then click the Webhooks tile in the Admin group of HQ Settings.
At the top of the page, four tiles summarize every webhook in your HQ: Subscriptions (with how many are active), Active, Deliveries (lifetime), and Failures (with your success rate).
Adding a webhook
- Click Add webhook.
- In Name, enter something you'll recognize later, like "Zapier · new invoices".
- In Endpoint URL, paste the address that should receive events. It must start with https:// — the button stays greyed out otherwise.
- Under Events, tick each event you want sent. Each one has a short plain-English description.
- Click Create webhook.
SalesThumb sends a POST request to your URL each time one of the selected events happens at any of your locations.
Saving your signing secret
Right after you create a webhook, a Save your signing secret dialog appears. Every request is signed with this secret so your receiving system can confirm it really came from SalesThumb. Click Copy to clipboard and store it somewhere safe, like a password manager.
This is the only time the secret is shown. Afterward the webhook list shows it as hidden dots. If you lose it, rotate it (see below) to get a new one.
Events you can send
The event list covers what happens in your shops — appointments booked, confirmed, checked in, completed or canceled; quotes sent or accepted; invoices created, sent or paid; payments received or refunded; warranties registered and warranty claims filed; and new customers. If you use Franchise Sales, it also includes prospect events (a new prospect, a stage change, a prospect marked hot) and FDD events (FDD link sent, FDD receipt signed).
Managing a webhook
Each webhook in the list shows its name, an Active or Disabled label, the URL, the events it's subscribed to, and how many deliveries have succeeded and failed. The icon buttons on the right let you:
- Send a test event — fires one test event at the URL. A message tells you whether it was delivered, with the response code and how long it took.
- Edit webhook — change the name, URL or events, then click Save.
- Enable / disable — the power icon turns the webhook on or off without deleting it.
- Rotate secret — confirm with Rotate to generate a new signing secret. It's shown once, the same way as when you created the webhook. Update your receiving system to use the new value.
- Delete — confirm with Delete webhook. This can't be undone, and the webhook's delivery history goes with it.
Checking recent deliveries
Click Show recent deliveries under a webhook to see its last deliveries (up to 50): the Event, the Status code your endpoint returned (or ERR if it couldn't be reached), Latency, When, and the Attempt number. Failed deliveries show the error underneath. Click Hide recent deliveries to close it.
When a webhook turns itself off
If a webhook fails 10 deliveries in a row, SalesThumb turns it off automatically so a broken endpoint doesn't keep failing. It then shows as Disabled. Fix the endpoint, then click the power icon to turn it back on — that also resets the failure streak.
What franchisees see
In a franchise network, a member with viewer-level HQ access can see that webhooks exist, but the URL is partly hidden, the delivery log only shows events from their own location(s), and they can't send test events.
Frequently asked questions
Q: Do I need to set up a webhook at each location?
A: No. A webhook added in HQ receives the same events as every shop in your organization.
Q: I lost the signing secret. Can I see it again?
A: No. It's only shown once. Click the rotate icon on that webhook and confirm Rotate to get a new secret, then update your receiving system with it.
Q: Why did my webhook switch to Disabled on its own?
A: It failed 10 deliveries in a row, so SalesThumb turned it off. Fix the endpoint and click the power icon to turn it back on.
Q: Can I use a plain http:// address?
A: No. The endpoint URL must start with https://.
Q: Who can add or change HQ webhooks?
A: An HQ Owner or Admin. Other members with HQ dashboard access can view the list.
