Reading a royalty statement

What each part of an HQ royalty statement page shows: the calculation, credits, payments, the dispute card and the audit trail, plus the actions you can take.

6 min read

A royalty statement page shows one shop's bill for one period, line by line, with the payment history beside it. It's part of the +HQ add-on. For disputes, waivers and corrections, see How royalty calculation and collection work in HQ tier.

Getting there

Open a period from the Royalty page, then click a shop's row. The page title is the statement number, with a status badge. Under it you see the shop name and the period. A breadcrumb leads back to the period.

The header buttons

  • Print prints the statement.
  • PDF opens the statement as a PDF in a new tab.
  • Send emails the statement to the shop. Once it has gone out, the button reads Resend. It's greyed out with "Shop has no email on file" when the shop has no email.

After a send, a message confirms the address it went to.

The statement card

The top of the statement shows the statement number, the period and its dates, and the due date. The big figure is the remaining balance. Under it you see the total due, or "Paid in full" with the payment date.

Under that:

  • Billed to: the shop's name, address and email.
  • Collection method: how the shop pays, such as ACH or invoice.
  • Sent: the date it was sent, or "Not sent yet". Once the franchisee opens the statement, a Viewed date appears.

The Calculation card

The Calculation card lists every line that makes up the bill, and how many transactions were rolled up from shop sales in the period. Credits show with a minus sign, and late fees with a plus. The total is at the bottom as Total due.

An Adjustment applied note appears when the royalty was raised to your minimum floor or lowered to your maximum cap. It says which one.

Credits applied

When credits or extra charges were applied to this statement, the Credits applied card lists each one with its reason, optional description and the date applied. It's a permanent record. To issue one, see Issuing royalty credits and extra charges to a shop.

Payments recorded

Once any payment exists, a Payments recorded card lists each one with its method, notes, date and who recorded it.

A mistaken payment can be voided with Void. Voiding adds an offsetting entry rather than deleting the original, so both rows stay in the history, and the original gets a Voided badge. It corrects SalesThumb's record only. It never moves money at the bank. Void needs permission to correct the royalty ledger.

The Payment status panel

The panel on the right shows Total due, Paid and Balance, with a progress bar.

The Actions card

The Actions card is hidden once the statement is Paid, Waived or Written off. It can hold:

  • Mark as paid: opens Payment amount and Payment date. The amount starts as the balance, and you can lower it for a part payment. Click Record payment. The date can't be before the period began or in the future. Early-pay discounts and late fees use it.
  • Raise dispute: asks for a reason, then Submit dispute.
  • Waive statement: asks for a reason, then Waive.
  • A line such as "In bank file" with a date and amount, when the statement was included in an ACH file. See Generating the ACH file for a royalty period.

Mark as paid needs permission to record royalty payments. Raise dispute and Waive statement need permission to correct the royalty ledger. Org owners and admins have both by default.

Disputes and corrections

A disputed statement shows a Dispute raised card with the reason and date, and Resolve dispute underneath. A Corrections card offers Reverse waiver or Reopen dispute, each with a required reason.

The audit trail

The Audit trail card shows four steps with their dates: Generated, Sent to franchisee, Viewed and Payment received. A step with no date shows a dash.

Frequently asked questions

Q: Can I record a part payment?

A: Yes. Click Mark as paid, lower the Payment amount, set the Payment date and click Record payment.

Q: Why is the Send button greyed out?

A: The shop has no email on file. Add one for the shop, then try again.

Q: What does Viewed mean?

A: The franchisee opened the statement. The date shows on the statement card and in the audit trail. Opening it yourself in HQ doesn't count.

Q: Why did the Actions card disappear?

A: It's hidden once a statement is Paid, Waived or Written off. Corrections and payments recorded stay on the page.
