If your business has more than one location, you can send film rolls from one shop to another. The sending shop makes a request, and the rolls move into the receiving shop's inventory only once that shop accepts. Roll transfers are part of Inventory, a Growth-plan feature (Growth and Pro). Requesting, accepting, declining, and withdrawing need permission to manage inventory, which owners, admins, and managers have by default. Anyone else can see the list but won't see the action buttons.
Where to find it
From the sidebar, click Inventory, then click the Roll transfers tab in the bar across the top of the Inventory pages. The page is titled Film Roll Transfers.
Transfers only work between active locations in the same organization. If your shop has no other active locations, you'll see a note saying there's nowhere to send rolls, and the Request transfer button won't appear.
This page is just for film rolls. Other inventory items (kits, chemicals, and so on) move through the separate Transfers tab. See transferring inventory between your shop locations.
Sending rolls to another location
- Click Request transfer.
- Under Send to, pick the location that should receive the film.
- Under Film, pick the film. Each option shows how many rolls you have on hand. Only active rolls that still have film left are offered.
- Under Roll, choose one of these:
- Any roll (oldest first): then enter the Number of rolls. You can't ask for more rolls than you have on hand.
- A specific roll: each one is listed by roll number with the feet left on it.
- Optionally add a Note (optional) for the other shop.
- Click Request transfer.
The request shows up as Pending on both shops' lists. Nothing moves yet, and the rolls stay in your inventory until the other shop accepts.
Accepting or declining incoming rolls
Requests coming to your shop are marked Incoming. On a pending one:
- Click Accept, add an optional note, and click Accept again. The rolls move into your inventory right away.
- Click Decline, add an optional note, and click Decline again. The request is closed and no film moves.
When you accept a request for "any" rolls, SalesThumb picks the sending shop's oldest rolls first. If the sending shop no longer has enough film left to fill the request, the accept fails and nothing moves. Requests are never partly filled.
If your shop's film catalog doesn't already have that film, SalesThumb adds it for you when the rolls arrive. It matches on brand, product name, and VLT. Your own reorder settings for that film aren't copied from the other shop.
Withdrawing a request you sent
Requests your shop sent are marked Outgoing. If you change your mind while one is still pending, click Withdraw, add an optional note, and confirm with Withdraw. No film moves.
Reading the list
Each transfer card shows:
- Outgoing or Incoming
- The sending shop → the receiving shop
- A status: Pending, Accepted, Completed, or Declined (withdrawn requests also show as Declined)
- The film, plus either the roll number or how many rolls
- The date it was requested, the date it was decided, the request note, and any reply
Use the status filter at the top to show only one status. The count on the right tells you how many transfers match.

Frequently asked questions
Q: When do the rolls actually leave my inventory?
A: Only when the receiving shop accepts. Until then the request is pending and the rolls stay with you.
Q: Can I send rolls to a shop outside my organization?
A: No. Roll transfers only work between active locations in the same organization.
Q: What happens if I used some of the film before the other shop accepted?
A: When they accept, SalesThumb checks your real stock again. If there isn't enough film left to fill the request, the accept fails and nothing moves.
Q: Who can accept a transfer?
A: Only the receiving shop. Either shop can close a pending request: the receiving shop declines it, and the sending shop withdraws it.
Q: Why can't I see the Request transfer button?
A: You need permission to manage inventory, and your shop needs at least one other active location in the same organization.
