Film roll page: usage log and remaining stock

How to read a single film roll's page, record film cut from it, remove a usage entry made by mistake, and scrap the roll.

5 min read

Every film roll has its own page. It shows how much film is left, a log of every cut taken from the roll, and where the roll came from. Inventory is a Growth-plan feature (Growth and Pro). To receive a new roll, see Receiving and tracking film rolls.

Open a roll

Click Inventory in the sidebar, then the Rolls tab. The Rolls On Hand card lists each physical roll, sorted by received date. A row shows the roll number, the brand and product, a stock badge, the width, when it was received, and the length left with a bar. Click a row to open its page.

The top of the page

The heading is the roll number, or "Untitled Roll" if it has none. Badges can appear beside it:

  • Depleted: nothing is left on the roll.
  • Low Stock: less than 10% is left.
  • Scrapped: the roll was marked inactive.

Under it you see the brand and product, with the VLT if the film has one.

The Remaining stock card shows how much has been used out of the original length, the length left, and the percent remaining. Lengths show in feet and inches, for example 5′6″.

Record usage

  1. Click Record Usage. The button is off when the roll is depleted or scrapped. It only shows if you have the Manage inventory permission.
  2. The box Record film usage asks how many inches were cut and says how many inches remain.
  3. Type Inches used. It must be at least 1 and no more than what remains. If it's under 1 you see "Enter at least 1 inch".
  4. Add Notes if you want, such as the car and the windows.
  5. Click Record.

For film used on a job, the Deduct screen does the math for you. Use Record Usage when you just need to log a cut.

The usage log

The Usage log card says how many cuts are recorded. Each entry shows the inches, the length used, any note, the date and time, who recorded it, and a View appt link when the cut is tied to an appointment. With no entries it says "No usage recorded yet".

Remove a usage entry

Each entry has a trash icon. Its tooltip says Delete this entry. On a wide screen it stays hidden until you hover over the entry, or tab to it with the keyboard. On a phone or other narrow screen it is always showing. Click it and a box asks Remove usage record? It says the entry will be deleted and the roll's remaining length recalculated. Click Remove. Use this to fix a typo, not to hide a cut that really happened.

Roll details and film product

On the right, Roll details lists the dimensions (width × length), the received date, the cost if you can see financial figures, the supplier and the lot number. Film product shows the brand and product, the series, the VLT and the product type.

Scrap a roll

While a roll is active, a Scrap Roll button sits at the bottom of the right column. It only shows if you have the Manage inventory permission. It asks Scrap this roll? and says the roll will be marked inactive and its usage history is kept. Click Scrap roll to confirm.

Who can change a roll

Recording usage, removing an entry and scrapping a roll need the Manage inventory permission. Owner, Admin and Manager have it by default. Technician, Front Desk and Service Writer do not. Without the permission, Record Usage, the trash icon and Scrap Roll are not shown. You can still read the page.

Frequently asked questions

Q: Why is the Record Usage button greyed out?

A: The roll is either depleted, with nothing left, or scrapped. Record Usage only works on an active roll that still has film on it.

Q: How do I fix a cut I recorded by mistake?

A: Find the entry in the Usage log and click the trash icon, then confirm Remove. On a wide screen the icon shows when you hover over the entry. It needs the Manage inventory permission. The roll's remaining length is recalculated.

Q: What does Low Stock mean on a roll?

A: Less than 10% of the roll is left.

Q: Does scrapping a roll delete its history?

A: No. The roll is marked inactive and its usage history is kept.
