Film rolls have their own receiving flow, but everything else you keep on a shelf — ceramic coatings, detail chemicals, compounds, pads and applicators, tint tools, PPF and vinyl wrap supplies, adhesives, cleaning supplies, PPE, office supplies, merchandise, tools, and equipment — gets added as a standalone inventory item. Here's the full walkthrough.
Where to start
Go to Inventory → Add item (or /app/inventory/items/new). The page header reads "Add inventory item," with a reminder underneath: "Ceramic coatings, detail chemicals, pads, PPF supplies, tools — anything that isn't a film roll."
Scan a product photo (optional shortcut)
At the top of the form is a Scan a product photo card: "Snap or drop a photo of the bottle, box, or label — AI fills in the fields below for you to review." Drop or snap one photo, then click Extract details (it reads "Reading…" while it works). If it finds a name, brand, SKU, category, unit, size, or description, it fills those fields in below the confidence note ("Filled from photo · NN% confidence") — you still review and correct everything before saving, the same as if you'd typed it in yourself.
You'll notice a small badge next to the card title reading either ● Live or ● Stub. That's not a per-shop setting you can switch on in your account — it reflects whether AI vision is turned on for the SalesThumb platform as a whole. When it reads ● Stub, the Extract details button still runs and still fills in the form with realistic placeholder data, so you can try the workflow end-to-end before AI is fully wired up. When it reads ● Live, the same button reads your actual photo. Either way, this card is entirely optional — skip it and fill in the fields below by hand if you'd rather.
Basic info
- Name — required. e.g., "CQuartz UK 3.0 9H Coating"
- Brand — optional
- SKU — your internal code or barcode
- Category — choose from Ceramic coating, Paint protection, Detail chemical, Compound / polish, Pad / applicator, Tint tool, Install supply, PPF supply, Vinyl wrap supply, Adhesive / sealant, Cleaning supply, PPE / safety, Office supply, Merchandise, Tool, Equipment, or Other
- Unit of measure — Each, Ounce (oz), Milliliter (ml), Gallon, Liter, Foot, Inch, Square foot, Pound (lb), Kit, or Box
- Description — optional, e.g., "50ml bottle, 9H hardness, 2-year warranty"
Size & packaging (optional)
Use this when one unit of the item contains a measurable amount — for example, one 16oz bottle of coating. Fill in Size amount (e.g., 16) and Size unit (pulled from the same unit list above).
Pricing & stock
- Cost per unit — what you pay
- Retail price (if resold) — only relevant if you sell the item directly to customers
- Minimum on hand — your safety floor; the item shows as "Low" once on-hand drops to this number or below
- Reorder qty (optional) — how much you typically reorder, e.g. 12
- Stock limits (optional) — a separate box for Reorder point (defaults to your minimum if left blank), Par level (the target you restock back up to), and Maximum on hand (flags the item as "over par" above this ceiling)
- Opening stock — enter your current on-hand count here and SalesThumb creates a "Receive" transaction so the item starts at that number; leave it blank if you'll receive stock later instead
Supplier & notes (optional)
Pick a Default supplier from the dropdown, or use the "Manage suppliers" link right below it to add one first. Internal notes is a free-text field for things like storage location or handling instructions.
Save it
Click Create item once the Name field is filled in (it's the only required field). The button reads "Creating..." while it saves, then takes you straight to the new item's detail page. Cancel returns you to Inventory without saving.
