When a customer sells their car, they can ask for the warranty to move to the buyer without calling the shop. They do it from the public page for their warranty certificate. The request then waits for you to approve or reject it. To transfer a warranty yourself from the warranty page, see Transferring a warranty to a new vehicle owner.
What the customer does
On the certificate's public page, an active warranty on a transferable coverage tier shows a card: Selling the vehicle? Request a transfer. The card does not show if the warranty is claimed, voided or already transferred, or if its tier is not transferable.
- The customer clicks the card, types the phone number on file for the warranty and clicks Send confirmation code.
- They type the 6-digit code that was texted to them and click Confirm. This is how SalesThumb checks they are the current owner. Resend code is there if it didn't arrive.
- They enter the New owner's name. New owner's phone and New owner's email are optional.
- Under Bill of sale + ID photo(s) they click Choose photo(s) and upload a bill of sale (or title transfer) and the buyer's ID. Images and PDFs work, up to 6 files.
- They click Submit for review. The page says Transfer request submitted and that the shop will review the documents.
The new owner's name and at least one file are required. Only one request can be open per warranty at a time. If one is already in progress, the customer sees "A transfer request is already in progress for this warranty." If they leave partway and come back too late, the page says "This transfer session has expired. Please start over."
What you do
Open Warranties. If any transfer requests are waiting, an amber card at the top of the page reads Transfer requests waiting for approval, with a count beside it. It lists one row per request, oldest first, in the form "[certificate number] · [current customer] → [new owner]". Click a row to open that warranty. The card only shows when at least one request is waiting and your role has the Manage warranty claims permission.
On the warranty's own page, a blue card reads Transfer request awaiting your review. It says who confirmed by text and who they asked to transfer to, with the date. It shows the new owner's phone and email if they gave them. Under Uploaded documents, links called Document 1, Document 2 and so on open each file in a new tab.
- Approve transfer: the warranty's status changes to Transferred and the new owner's name and the transfer date show on the record. SalesThumb looks for an existing customer with the new owner's phone, then email. If it finds none, it creates a customer record. The warranty then belongs to that customer. You see "Transfer approved".
- Reject: opens Reject transfer request. Type a Reason (internal note) if you want one, then click Reject transfer. The warranty stays with its current owner. You see "Transfer request rejected".
The reject box says the requester isn't told automatically, so follow up with them directly if needed.
Approving checks the coverage tier again. If the tier is not transferable, you get "This warranty's coverage tier is non-transferable and cannot be marked TRANSFERRED." If someone else already reviewed the request, you get "This request has already been reviewed."
Who can review
Approving and rejecting need the Manage warranty claims permission. Owner, Admin and Manager have it by default. Without it, the card doesn't show on the warranty.
Frequently asked questions

Q: Why doesn't my customer see Request a transfer?
A: The card only shows on an active warranty whose coverage tier is transferable. It is hidden once the warranty is claimed, voided or transferred.
Q: Does the customer hear back when I reject?
A: No. SalesThumb doesn't tell them. The reject box says to follow up directly. After an approval, the customer's certificate page shows the transfer.
