Every photo your team takes of a car, on the pre-inspection, the post-inspection or the job itself, is collected in one Vehicle photos view. It shows up on the appointment, the quote, the invoice and the vehicle, on the web and in the mobile app. The visit's appointment, quote and invoice are tied together, so a quote shows the inspection photos taken on its job.
Two AI helpers sit on top of the photos: AI inspect sorts and describes them, and Pick before / after chooses the best shots for the job's Before/After section. Both are on the Pro plan and up. AI never runs on its own. It only runs when someone taps the button.
Where you'll find vehicle photos (web)
- Appointment page: a card called Vehicle inspection with three tabs: Photos, Checklist and Sign-off. The header shows the photo count and the pre and post inspection status, for example "Pre: Signed" or "Post: Awaiting sign-off".
- Quote page: a Vehicle photos card with the pre-install checklist under its Checklist and Sign-off tabs.
- Invoice page: a Vehicle photos card with the post-install checklist under its tabs.
- Vehicle page: a Vehicle photos card with photos from every visit, newest first.
- Customer page: the same history, with a switcher when the customer has more than one car.
- Warranty page: an Install inspection photos card, when the warranty is linked to an appointment.
- Calendar quick view: a compact Vehicle inspection row with thumbnails. Tap a thumbnail to open the appointment on its Photos tab.
If a visit has no photos yet, you'll see "No vehicle photos for this visit yet." Click Find existing photos to look through the vehicle's past appointments, quotes and invoices for older photos. This doesn't use AI.
Where you'll find vehicle photos (mobile app)
- Quote and invoice screens have a vehicle photos card with a count and a thumbnail strip. Tap View all photos to open the full Vehicle photos screen.
- A customer's screen shows each vehicle's photos across visits.
- A job's Vehicle inspection card shows the photo count and thumbnails, with the AI buttons once photos exist.
- The inspection screen has a Photos tab next to Checklist and Sign-off.
On a vehicle with no photos, tap Look for older photos to pull in photos taken before this screen existed. Vehicle photos on mobile are for installer, sales and management staff.
How photos are grouped
Photos are grouped into sections: Exterior, Damage, Interior, Glass, Wheels, Engine bay, VIN & documents and Other. Any photo where AI saw damage goes under Damage, so scratches and dents are all in one place. Photos AI hasn't looked at yet sit under Unsorted.
Each thumbnail has a small tag, such as "Front", "Rear", "Scratch" or "Dent". Damage tags are amber, or red when AI rated the damage severe. Click a photo to open it full size. You'll see its section, the AI caption, the stage (Pre-inspection, Post-inspection, During job or Job photo) and the checklist item it was taken for.
Running AI inspect
- Open the photos for a visit or a vehicle.
- Click AI inspect N photos. N is the number of photos AI hasn't analyzed yet.
- Keep the page open while it runs. A progress bar shows "N of M photos done." If you leave the page, it stops after the photo it's working on.
- When it's done, you'll see a summary such as "AI sorted 12 photos." Photos move into their sections with captions and tags.
When every photo has been analyzed, the button reads All photos inspected. On mobile, a disabled button tells you why, for example "Every photo is sorted" or "Save the inspection first so AI can see the new photos." The first time you use AI on mobile, the app asks you to agree that AI features use a third-party AI provider.
Some photos can't be read by AI, for example a file type AI can't read or a photo over 3.75 MB. The viewer says why on that photo.
Picking Before/After photos
Pick before / after chooses the best shots from the photos AI has already analyzed and adds them to the job's Before/After photos. It needs the visit to have an appointment, because Before/After photos belong to a job. When AI inspect finishes on a visit with an appointment, it also picks Before/After for you.
If your team already chose a Before or After photo, AI leaves it alone. To choose by hand, open an inspection photo and click Use as Before or Use as After. Click Remove to take it out of the Before/After section. The original inspection photo isn't changed.
AI damage notes on the mobile inspection
On the mobile inspection checklist, when you mark an item Issue and add a photo to it, AI looks at the photo while you keep working. You'll see "AI is looking at the photo…" under the notes box. When it's done, the item's notes fill in with a draft that starts "AI draft — review, edit, or clear:" and lists the damage it saw, such as a scratch or chip, where it is and how bad.
This uses the intake damage scan, which is on the Pro plan and up. It never overwrites notes you've already typed, and it never fills in anything when your plan doesn't include it or your AI allowance is used up. Always check the draft against the car before the customer signs.
Frequently asked questions
Q: Which plan do I need for AI inspect and Pick before / after?
A: Pro plan and up. Viewing vehicle photos, finding older photos and choosing Before/After shots by hand don't use AI.
Q: Does AI run every time someone saves a photo?
A: No. AI inspect and Pick before / after only run when someone taps the button. The one exception is the damage note on the mobile inspection, which starts when you add a photo to an item marked Issue.
Q: Will AI replace the Before/After photos my team picked?
A: No. If someone on your team already chose a Before or After photo, AI leaves it alone.
Q: Why is Pick before / after greyed out?
A: Either the visit has no appointment yet, so there's no Before/After section to fill, or AI hasn't analyzed any photos yet. Run AI inspect first.
Q: Is there a limit on how many photos AI can sort?
A: There's no small cap. Each run keeps going until every unanalyzed photo is done. The visit view shows the first 500 photos for that visit.
