Every job tells a story — and the photos are the proof. This guide walks through where Job Photos live in SalesThumb, how to upload them, and how to keep Before, After, Damage, and Docs organized so nothing gets lost between the estimate and the invoice.
Where to find Job Photos
There are two ways to get to your shop's photos, depending on what you're after.
From a specific job — this is the main path, and where you'll actually upload from:
1. In the left-hand nav, click Schedules (this is the nav item at `/app/calendar` — the page itself is titled "Schedules" too, so you're in the right place if that's what you see at the top). 2. Click into any appointment from the schedule. 3. Scroll down to the Job Photos card. You'll see it below the appointment details, right above Inspections.
Across every job at once — if you just want to browse or search all of your shop's photos without hunting down the specific appointment, press Cmd+K (or Ctrl+K) and type "Photos," or go straight to `/app/photos`. That opens a searchable, cross-job gallery with the same Before/After/Damage/Doc filter pills, plus its own Upload Photos flow if you know which appointment you're adding to but don't want to open it directly.
The four tabs: Before, After, Damage, Docs
Job Photos is organized into tabs so photos don't turn into one giant unsorted pile:
- Before — condition shots taken before work starts (great for protecting against pre-existing damage disputes)
- After — the finished install or repair
- Damage — anything unexpected you find or cause, documented in the moment
- Docs — paperwork, work orders, or reference documents tied to the job
Each tab shows a count badge once it has photos in it, so you can see at a glance what's covered and what's still missing.
Uploading a photo
1. Click the tab you want to add to (Before, After, Damage, or Docs) — uploads go to whichever tab is active. 2. Click the upload box (it reads "Click or drag photos here") or drag files straight onto it. 3. You can select multiple files at once. Accepted formats are JPG, PNG, and HEIC, up to 10 MB each. 4. On a phone, the same upload box opens your camera directly so you can shoot and attach in one step — no need to save to your camera roll first.
Give the upload a second to finish — you'll see a spinner while it processes, then your photo lands in the gallery grid below.
Adding a caption
Hover over any photo in the gallery and click the pencil icon. Type your caption and press Enter (or click the checkmark) to save it. Captions are a good spot for notes like "left front fender — pre-existing scratch" or "customer-requested touch-up area."
Downloading or deleting a photo
Hover over a photo to reveal three icons in the top-right corner:
- Download (the down-arrow icon) — saves the original file
- Edit caption (the pencil icon) — as above
- Delete (the trash icon) — asks you to confirm first, since deleting a photo removes it permanently from the job
Photos on a warranty
If a warranty is linked to an appointment, that same Job Photos section — Before, After, Damage, and Docs, all of it — also shows up further down the warranty's detail page. It's the identical component, so any photo you upload from either the appointment or the warranty screen shows up in both places, since they're pulling from the same job.
To get there: from the Dashboard, find the Warranties card and click the arrow to open the warranties list, then click into the specific warranty. There isn't a permanent "Warranties" link in the left-hand nav — it's reached through that Dashboard card, not a sidebar item.
Tips for keeping photos organized
- Snap Before photos as a habit, even on jobs that feel routine — they're the fastest way to settle a "was that damage already there?" conversation later.
- Use Damage the moment you notice something, not at the end of the day. It's easy to forget which panel it was on.
- Keep captions short and specific (panel, angle, or issue) rather than restating what tab it's already in.
- Docs is a good home for anything paper-based tied to the job — a signed work order, a manufacturer spec sheet — so it stays attached to the appointment instead of floating around in email.
