Shop P&L gives HQ the same monthly profit-and-loss from every shop, in one standard set of accounts, so shops can be compared fairly.
For HQ
Open HQ → Insights → Shop P&L.
- Standard accounts: start from the tint-shop template (income by service line, film & materials, labor, rent and utilities, marketing, royalties and the usual operating expenses), then rename, add or archive accounts. Each account has a type (income, cost of goods sold, operating expense, other income, other expense) and can count toward a KPI: Labor, Rent & utilities, Marketing or Royalties. Archiving hides an account from new months; months already entered keep their amounts. Only HQ owners and admins can change accounts.
- Submissions: pick a month to see each shop's status (Submitted, Draft, Late or Not started) and the submitted shops' sales, gross margin, labor %, rent & utilities %, marketing %, royalties % and net margin, with the network median and top 25%. Click a shop to see its month; owners and admins can Reopen a submitted month so the shop can fix it.
- Settings: choose the day of the following month a month is due (1–28). With 15, September is due October 15; unsubmitted shops show as Late after that.
For shops
Open Financials → Monthly P&L for HQ. Pick the month, type each account's total from your books (enter discounts and refunds as a negative number), and Save draft as you go. Submit to HQ when it's right: the month locks, and HQ can reopen it if something needs to change. You can only enter a month after it has ended. Shop owners, admins and managers can use this page.
Once at least seven shops have reported a figure for the month, you'll see your KPIs next to the network median (and, in larger networks of eight or more, the top 25%). Other shops' numbers and names are never shown.
QuickBooks Online
If your shop has QuickBooks Online connected (Settings → Integrations), the Monthly P&L page shows a QuickBooks panel. Click Map accounts once and pick the HQ account each QuickBooks income and expense account belongs to (suggestions are filled in; use Don't include for things like owner draws). After that, Pull from QuickBooks fills the month's draft from your QuickBooks Profit and Loss, and any QuickBooks account with an amount that isn't mapped yet is listed so nothing is left out. SalesThumb also pulls last month automatically on the 3rd, unless you've already saved that month by hand. The pull uses your QuickBooks company's own report basis (cash or accrual). A pull only changes a draft; a submitted month is never overwritten, and the panel keeps showing any unmapped accounts from the last pull. Review the numbers, then submit.
Frequently asked questions
Can a shop see another shop's numbers?
A: No. Shops see only their own month and, once at least seven shops have reported a figure, the network median for it — never another shop's numbers or name, and never network sales totals. HQ sees every shop.
What if a shop submitted the wrong numbers?
A: An HQ owner or admin opens the shop's month under Submissions and clicks Reopen. The shop can then edit and submit again.
