Printing the day's schedule as a PDF

The Print schedule button on the calendar's Day view opens a PDF of that day's jobs, grouped by installer, for shops that post a paper schedule.

If you post a paper schedule for your installers, the calendar can make one for you. The Print schedule button opens a PDF of one day's jobs, grouped by installer.

Where to find it

Open Schedules in the sidebar (Customer Flow → Schedules) and stay on the Calendar tab. Switch to the Day view. The Print schedule button sits in the toolbar, after the All installers & bays filter and before New Appointment. It doesn't show in the Week or Month view.

Print a day

  1. On the calendar, choose Day and move to the date you want.
  2. Click Print schedule. Hovering over it shows the date it will print.
  3. A new browser tab opens with the PDF. Print it or save it from there.

The calendar stays open in its own tab, so you don't lose your place.

What is on the sheet

The top shows your shop name with "Day Schedule", the full date, and a line such as "5 appointments" with the time it was generated. Every time on the sheet is in your shop's time zone.

Jobs are grouped by installer, with a heading showing the installer's name and how many jobs they have. Installers are listed A to Z, and jobs with no installer go last under Unassigned. Each row has:

  • Time
  • Customer, with their phone number underneath if there is one. A job with no customer shows as Walk-in.
  • Vehicle, as year, make and model. It shows a dash if there is no vehicle.
  • Service, with its length in minutes when the service has one, for example "(120m)".
  • Bay, or a dash if no bay is set.
  • Status, such as Scheduled or In progress.

A day with no jobs prints "No appointments scheduled for this day."

What is left out

  • Canceled appointments and no-shows don't print.
  • The All installers & bays filter on the calendar doesn't narrow the sheet. It always prints every installer for that day.

Phone numbers

If your role isn't allowed to view customer contact details, the phone shows as Restricted. The job is still on the sheet.

Each time someone prints a day, an entry such as "Day schedule PDF generated for 2026-10-31" is added to the shop's activity log.

Frequently asked questions

Q: Why don't I see the Print schedule button?

A: It only shows in the Day view of the calendar. Switch from Week or Month to Day.

Q: Can I print just one installer's jobs?

A: No. The button always prints every installer for that day, each in their own group. Print the pages you need from your PDF viewer.

Q: Why is a job missing from the printout?

A: Canceled appointments and no-shows are left out. A job also prints on the day it starts, in your shop's time zone.

Q: Why does a phone number say Restricted?

A: Your role can't view customer contact details, so the phone is hidden. The job still prints.
