The notifications bell: your shop's recent activity

What the bell at the top of the web app shows, what the red number counts, and why a refund alert only shows for owners and admins.

3 min read

The bell at the top of every page in the web app shows your shop's recent activity. Click it to open the Notifications list. It checks for new activity every 30 seconds.

What shows in the list

Each row has an icon, a title, the customer's name, and how long ago it happened. Click a row to open it.

  • Quotes: Quote created, Quote sent, Quote viewed or Quote approved, with the quote total. Opens the quote.
  • Invoices: Invoice created, Invoice sent or Invoice paid, with the invoice number and total. Opens the invoice.
  • Appointments: Appointment booked, Appointment completed, Appointment canceled or No-show, with the date. Opens the calendar.
  • Messages: New message, with the start of the text. Opens the Inbox.
  • Payments: Payment received, with the amount. Opens the invoice.

Some roles also see an AI daily summary. Owners and admins also see Refund failed and Refund still pending when a card refund didn't go through. Open the invoice to sort it out.

The red number

The red number on the bell counts new items. An item counts as new for 24 hours after it happens. A text message stays new until its conversation is marked read in the Inbox. The number shows 9+ when there are more than nine.

Opening the bell doesn't clear the number. It goes down as items get older.

When the list is empty

You see No activity yet and "You'll see updates here as they happen." Click View all activity at the bottom of a full list to go to your dashboard.

Choosing what gets emailed or pushed to you

The bell always shows activity. To choose which alerts you also get by email or on your phone, see Choosing which shop alerts you get. The mobile app has its own list. See Managing mobile push notifications.
