Let the sales playbook draft or send a quote when a customer says yes

Turn on Auto-quote on cross-sell replies so a customer who answers a cross-sell text with interest gets a real quote drafted, or drafted and texted.

5 min read

When the sales playbook sends a cross-sell text and the customer answers with real interest, such as "yes, quote me for ceramic", SalesThumb normally just marks that play done and leaves a "follow up manually" note.

The Auto-quote on cross-sell replies card can instead build a real quote for you, and optionally text it to the customer. It's off until you turn it on. The sales playbook is part of the Growth plan and up.

Where to find it

Go to Settings → Sales Playbook. The card sits below the notification preferences and above the template editor. It has an Autonomy level dropdown, a Max auto-quotes per day field and a Save button. Nothing changes until you click Save; "Auto-quote settings saved" confirms it.

Only people who can manage the playbook can save changes. That's Owner, Admin and Manager by default.

The three autonomy levels

  • Off: the default. The play is marked done with a manual follow-up note, as before.
  • Draft only — needs review: SalesThumb creates a draft quote from your catalog prices. Owners and admins get an app notification, "Quote drafted — needs review". Nothing reaches the customer until someone reviews and sends it.
  • Auto-send — no review: SalesThumb creates the quote and texts it to the customer straight away, with no one checking it first. The text carries an "Automated reply from [your shop]." line unless that customer already received one recently.

What has to be true

A quote is only created when all of these hold:

  • The customer replied to a cross-sell text, and the AI reads the reply as wanting to act.
  • The customer hasn't opted out of texts.
  • You're under today's Max auto-quotes per day.
  • AI actions aren't paused or at their limit. See Approving AI actions and setting autonomy.
  • A service in your catalog matches the request, and your shop has an owner to act as.

If any of these fails, nothing is created or sent, and the play falls back to the usual manual follow-up note.

Which services go on the quote

SalesThumb first uses the services suggested with the original nudge, re-checked against your active catalog. Prices always come from the catalog as it stands today, not from when the text went out. If none of those still apply, it asks the AI to pick up to 3 services from your active catalog, based on the pitch and the customer's reply.

It never invents a line. If nothing in your catalog fits, no quote is made.

The daily cap

Max auto-quotes per day accepts 0 to 20 and starts at 5. It counts quotes made this way over the last 24 hours. Once you reach it, further replies fall back to manual follow-up.

Finding what it did

  • In the live queue, the play's note reads "AI drafted a $X quote for [first name] — review and send." or "AI auto-sent a $X quote to [first name] in reply to their cross-sell interest."
  • The quote itself is in your Quotes list under that customer, as a draft or as sent.
  • The action is logged on the AI Actions page and in your audit log.

Frequently asked questions

Q: Is this on by default?

A: No. The Autonomy level starts on Off, and nothing changes until someone saves a different level.

Q: Will it send a quote without anyone looking at it?

A: Only on Auto-send — no review. On Draft only — needs review, the quote waits as a draft until a person sends it.

Q: Does it work on replies to other playbook texts?

A: No. It only applies to replies to cross-sell texts.

Q: What if the customer asks a question instead of saying yes?

A: Nothing is created. A question gets the usual "follow up manually" note so a person can answer it.
