Quote Win-Back lives on the "AI · Re-engagement" page, under the "Cold quotes" tab — the older standalone Quote Win-Back link still works, it just redirects there now, since that screen groups all of SalesThumb's win-back-style signals (cold quotes, deferred work, churn risk, no-shows, and maintenance reminders) into one tabbed page. You set a lookback window and a scan size, run it, and get back a list of stale quotes that never converted, plus one short SMS draft per customer to try to bring the sale back. Nothing is texted automatically — every draft sits there for you to copy or push into a blast, and you're the one who actually sends it.
Running a scan
Two fields control the scan: how many days back to look (1–365, 14 by default) and the most quotes to consider in one run (up to 25, 10 by default). Click Run and it pulls every quote in your shop still sitting in Draft or Sent status that's older than your lookback window, then narrows that down: any quote that already has an invoice attached or an appointment booked against it is treated as already in motion and dropped, since it isn't actually cold. What's left is checked against your customer list — anyone who's opted out of texts, or opted out of playbook-style nudges generally, is skipped, since the tool won't draft a message it isn't allowed to send. Customers you've already reached out to recently through a real outbound message are skipped too, so running the scan again doesn't just keep resurfacing the same list — that recently-contacted check only clears once an actual message goes out, not just from having viewed a draft.
Reading the results
The results panel shows how many stale quotes were found and the total dollar value sitting in them, plus how many drafts came back. Below that, each surviving quote gets its own card: who the message is addressed to, the drafted SMS text, and a one-line "Why" note explaining why that quote is worth chasing (typically its age and status). From there you can copy the message text directly, or click "Send as Blast" to carry that customer, the drafted text, and SMS as the channel straight into the Blasts composer — you still review and hit send from there; nothing goes out from this screen itself. If nothing qualifies — no stale quotes, or everyone who does either opted out or was already contacted — you get a plain-language summary saying so instead of an empty list with no explanation.
Things to know
- Requires the Professional plan or above. Below that, the scan itself doesn't run — you'll see an upgrade notice with a link to plans instead of a result.
- If your shop qualifies on plan but the workspace doesn't have ANTHROPIC_API_KEY configured, or your shop has used up its monthly AI usage allowance, the tool still runs and still finds the same real stale quotes and dollar totals — only the message wording falls back to a plain templated note that names your shop and references the quote number and total. That's a placeholder, not AI-personalized copy; a banner on the page tells you when this is happening, and (for a usage-allowance issue rather than a missing key) links to add more AI credit.
- Each draft is meant to stay a single short text — plain language, no links or emojis — and it isn't supposed to invent a price, discount, or promotion beyond what's actually on the quote.
- "Converted" is checked broadly: any linked invoice or any booked appointment removes a quote from the list, regardless of what state that invoice or appointment is in.
- The tool is read-only against everything else in your account — it doesn't touch the quote, the customer record, or anything else. It only reads and drafts.
Frequently asked questions
Q: Does Quote Win-Back text the customer automatically?
A: No. It only drafts the message. You copy it or send it through the Blasts composer yourself — nothing goes out from this screen on its own.
Q: What makes a quote show up in this list?
A: It has to be sitting in Draft or Sent status, be older than your lookback window, and have no invoice or appointment linked to it yet. The moment either of those appears, the quote is treated as already in motion and drops off the list.
Q: If I run the scan twice in a row, will I get the same drafts again?
A: Yes, unless you actually sent a message to that customer in between. Copying or reading a draft doesn't count — only a real outbound message clears a customer from showing up again on the next run.
Q: Will it draft a text to someone who's opted out of SMS?
A: No. Customers who've opted out of texting, or opted out of playbook-style nudges generally, are skipped entirely — the tool won't draft a message for them at all.
Q: What plan do I need for this?
A: Professional or above. On a lower plan the scan is blocked outright rather than just missing the AI-written wording.
Q: What does it mean if the messages look generic and templated instead of personalized?
A: That's stub mode — it means live AI phrasing isn't available right now, either because ANTHROPIC_API_KEY isn't configured on this deployment or because your shop's monthly AI usage allowance is used up. The stale-quote list and dollar totals are still real; only the message wording is a placeholder until AI is back on.
